Use import templates to streamline the process of migrating existing saved shop data into Shopmonkey.
What kind of data can I import?
Import templates are available for the following:
Customers
Fleets
Vehicles
Vendors
Parts
Canned Fees
Line Item Categories
There are two ways you may choose to import shop data:
- Exporting and editing existing shop data, then importing changes (preferred method)
- Using an Import Template to import new shop data
Export and Edit Existing Shop Data
The easiest way to update shop data is to export and edit existing shop data, and then import any changes made. This requires the least amount of time from the shop and minimizes errors.
Select Lists from the left side navigation to view your Lists.
Navigate to the Lists page for the data you’d like to export/import. Select the Export icon in the top right corner of the page. If you don’t see the option to import/export on a List page, double-check with the list provided above that import capability is available for that data.
Pro-Tip: Don’t have Microsoft Excel to open an XLS file type? No problem! Import the data to a free data site (e.g., Google Sheets) by following these steps:
- Download the XLS export to your computer
- Open a new or existing spreadsheet in your free data site (e.g., Google Sheets)
- Select File, then Import
- Select Upload and choose the XLS file you saved to your computer
Once you have the exported file open, update the applicable fields in the spreadsheet. Please avoid using and deleting any custom columns or formulas to ensure a smooth import.
Please Note: If a field value is left blank in the import file, it is treated as an empty value and overwrites any existing value. For example, if part # is left blank in the import file, it will erase the existing part # in Shopmonkey inventory.
Import Completed Files
Select the Import icon in the top right corner of the Lists page (the same place you downloaded the exported file or import template from). Drag your .xlsx file in the box or click to upload your file. Select Import.
A prompt will then appear confirming a successful import.
Import Templates
If exporting/importing shop data isn’t an option, use Import Templates to import new shop data. Navigate to the Lists page for the data you’d like to import. Select the Import icon in the top right corner of the page.
Select download the template. This template ensures that your data is formatted correctly for the import process.
Once you have the file open, fill out the applicable fields in the spreadsheet. Please avoid using and deleting any custom columns or formulas to ensure a smooth import.

Follow the steps above for importing completed files.
Import Troubleshooting
Check these items if you receive an error message when importing:
Check that all required fields are filled out. If any of the required fields are left blank, that record will be ignored and the part won't be imported.
Make sure there are no formulas in the template. Formulas are a great way to make calculations easy, but are not supported for upload templates. Try copying any cells with formulas and pasting Values only.
Check that columns have not been rearranged or deleted. The upload template needs to be exact for it to work. If you have any concerns about your template, try downloading a new template with the steps mentioned earlier in the article.
Make sure the Quantity on Hand has a value (if applicable). When using a template that has Quantity on Hand, this field is key to the upload. This field cannot be left blank when uploading the template.
