Set up Inventory Transfers to give your shops visibility into available quantities at other locations and a streamlined way to request, approve, and track parts and tires as they move between them. Enabling Inventory Transfers provides the following benefits:
- Prevents delays by sourcing low-stock items from nearby shops
- Give shops visibility into available inventory across locations
- Track transfer status from request to fulfillment
- Automatically adjust inventory quantity when items are received
Enable Inventory Transfers
Select the Settings icon on the left-side navigation bar. Select Inventory Transfers under the Company Settings section.
Toggle on Inventory Transfers. Review the default shop visibility into parts and tires created by other locations when inventory transfers are enabled.
The following information will be visible to shops by default:
- Parts
- Name
- SKU
- Cost
- Retail
- Available Quantity
- Tires
- Brand & Model
- Size
- SKU
- Cost
- Retail
- Available Quantity
Review the locations that will have inventory transfers enabled and visibility to inventory information across locations. Select Enable.
Please Note: If Inventory Transfers are ever disabled after being enabled, previous transfer data will be view only. Any in-process transfers at the time of disabling will need to be handled manually.
Inventory Transfers at a Location
From within a sub-location, the inventory of other locations can be viewed from the Inventory page. To view the parts inventory, select the Inventory icon and Parts.
You will be able to view inventory for This Location and Other Locations. Select Other Locations to view available parts at all other locations in the company.
In the SKU column, an icon will represent whether or not you have an exact SKU match for that part at your location.
- No Match (Grey): SKU does not exist in your location’s inventory
- Partial Match (Orange): SKU matches a part in your inventory, but part name, cost, and/or retail varies
- Exact Match (Green): SKU, part name, cost, and retail matches your inventory
The Other Locations column shows the quantity available at other locations, while the Available column shows the quantity of this part in your location’s inventory.
Request a Part Transfer from Another Location
Select the … ellipsis from the part you’d like to request. Select Request Transfer.
Complete the Transfer Request by selecting the preferred quantity, adding additional parts, assigning a work order, and more. Select Save.
Request a Transfer from a Work Order
Request a transfer for a part directly from a work order by selecting the Parts & Tires tab. Select Add under the PO/Transfer column. Select Request Transfer.
From here, complete the process the same as above.
Manage Part Transfers
To manage existing and view previous part transfer requests, select the Purchasing icon and select Transfers.
Access transfer information and view current status of transfers.
To make changes to a transfer that is still in Draft status, select the … ellipsis on the transfer. Select Edit. From here, you can add parts, update the quantity requested, and more.
Transfer Notifications
Update user notification settings to ensure appropriate users have access to transfers. Users with these permissions will be able to see notifications for transfer requests, approvals, and denials.
