Responding to Payment Disputes
When a customer disputes a payment, providing clear documentation and explanation gives your shop the best chance of recovering the funds.
Use this guide to:
- Identify the dispute reason.
- Understand what your customer is claiming.
- Gather the strongest supporting documentation before submitting your response.
💡 Pro-Tip: The more organized and complete your evidence package is, the greater your chances of winning the dispute.

Dispute Inquiry (Retrieval Request)
*** This is not a formal dispute ** | The customer’s bank is requesting transaction details or documentation before deciding whether to file a formal dispute. |
🎯 Treat Retrieval Requests with the same urgency as a formal dispute. Strong documentation can often prevent a chargeback from being filed. |
| Duplicate | The customer believes they were charged more than once for the same repair or service visit, or they paid using another method (such as cash, check, financing, or another card) in addition to the card transaction. |

| Fraudulent | The customer claims they did not authorize the transaction or do not recognize the charge. |
|
| General | The issuing bank did not provide a specific reason for the dispute. If possible, contact your customer to understand why they disputed the payment. |
|
| Noncompliant | The issuing bank claims the transaction violated card network processing rules. | ⚠️ Card networks charge a $500 filing fee to challenge these disputes. The fee is only returned if you win. Recommended Action: Unless the disputed amount is substantially greater than $500 and your documentation is exceptionally strong, accepting the dispute is generally the lower-risk option. |
| Product Not Received | The customer claims the services they paid for were never completed or that they did not receive the benefit of the transaction. This may occur if the customer believes work was never performed, the appointment was missed, or the vehicle was returned without the agreed-upon repairs. |

| Product Unacceptable | The customer claims the repair, parts, or services did not match what was promised, were performed incorrectly, or failed to resolve the issue. They may also claim they received different parts or services than what they authorized or expected. |

| Unrecognized | Customer doesn’t recognize the charge on their statement. ⚠️Tip: Payment descriptors are one of the most common reasons customers don't recognize a charge. Make sure the business name displayed on your customer's credit card or bank statement (your payment descriptor) matches the name on your invoices, estimates, and customer communications. |

❌ DON’T
- Submit audio, video, or screen recordings
- Card networks and issuing banks will NOT accept audio or video files.
- If you have video evidence, capture clear screenshots and include in response.
How to Submit Your Response
- Gather all supporting documentation.
- Combine everything into a single PDF whenever possible.
- Upload your evidence using the submission link included in your dispute notification.
- Submit your response before the deadline listed in the notification.

What Happens Next?
After you submit your dispute response, you can track its progress directly from the Payments → Disputes section.
What You'll See
For each dispute, you'll be able to view:
- Dispute status
- Dispute date
- Response deadline
- # Days remaining to respond
- Decision date (once available)
You'll also receive a notification when a final decision has been made.
Please Note: Most disputes take approximately 45–60 days for the cardholder's bank to review the submitted evidence and issue their decision.
Dispute Status Definitions
Dispute Inquiry: The cardholder's bank has requested documentation but has not filed a formal dispute.
Under Review (Inquiry): Your response to a Dispute Inquiry is being reviewed by the cardholder's bank.
Disputed: A formal dispute has been filed and is awaiting your response.
Under Review: Your evidence has been submitted, and the cardholder's bank is reviewing the case.
Dispute Won: The dispute was decided in your favor, and the disputed funds have been returned.
Dispute Lost: The dispute was not decided in your favor, and the disputed funds will not be returned.

Navigate to Payments → Disputes.
From this page, you can filter disputes by:
- Dispute date
- Customers with disputes
- Current Status
The Status column also displays the number of days remaining before your response deadline, helping ensure you submit evidence on time.
